Audio conferencing for Microsoft Teams: Now available for instructors
University Technology Services (UTS) is pleased to share that Audio Conferencing is now available for instructors using Microsoft Teams for teaching. This feature allows participants to call into meetings by phone, a useful option when participants are on the road, can’t access the Microsoft Teams application, or internet connectivity is limited.
Who has access to this feature?
To start the roll-out of this feature, instructors who have activated an automatically-created class team will now have access to audio conferencing. This group of instructors will have received service details from Microsoft on Thursday September 10, 2020.
Instructors who do not have an automatically-created class team can now request audio conferencing by filling out this form:
What instructors need to know
Once access to the service is confirmed, instructors will receive an email directly from Microsoft containing their individual conference phone number and PIN.
- Please protect your PIN as these credentials are unique to you. Each instructor will get their own unique audio conferencing information to make use of the service.
- This service can be used for Microsoft Teams only. McMaster University does not support Skype for Business. This audio dial in service can only be used for Microsoft Teams.
- Who can join by phone? You or any participant (internal or external to McMaster) can join your sessions via phone with this feature. As the host, you can even dial out to invite people into your meeting by phone.
- Steps to access this service: Ensure you have the “new meeting experience” turned on by following the steps in this instructional video. You may need to restart Teams a few times to see audio conferencing as a new feature.
- Schedule a meeting: Next time you schedule a meeting in Microsoft Teams calendar, you will see your conference ID and a link for participants to join via their local number. You can also schedule the meeting using the MS Teams widget in Avenue to Learn.
- Past meetings: Please note you will need to resend any meeting invites you’ve already scheduled if you wish to use the audio conferencing feature.
- Copy all the details: If you copy and paste your meeting information for any reason, ensure you copy the full meeting invite information so audio conferencing details are included.
- Troubleshooting: If you are having trouble with your PIN, you can reset it by following this link and logging in using your MACID@mcmaster.ca and password.
How students or other participants can dial in
If you’re unable to use the Teams app or Teams on the web, you can join some meetings or classes by calling a phone number. If there’s a phone number and conference ID in the meeting invite, just dial the number to join.
The number in your invitation may not be local to you. Select Local numbers to find one that is.
